The media archive makes it possible to upload pictures, Pdf, Excel and Word documents to a property, which can then be used for various internal purposes, e.g. pdf of instruction, photo of damage or display where the consumption meters are located in a property.

Concepts – Files, Topics and Categories
When files are uploaded to the Media, they are automatically saved in a “Topic“.
A topic can consist of one or more files.
It is possible to add a title to the topic e.g. “Electricity” and a more detailed description of the content. It is also possible to add tags, which can make searching for specific files easier. More on that later.
Topics can be divided further into Categories. As a start, you have no categories, which is also not a prerequisite for using the Media. However, if you get a lot of topics that deal with the same thing, it can be an advantage to create categories to keep track.
You can always add or change a category.
Viewing
A category is displayed in the Media as follows:
A number appears in the upper right corner of an topic if it contains multiple files.

Download file from the Media
When you click on a topic, it looks like the following:
Click the arrow to scroll to the next file.
If you need one of your files, you can download it by clicking on the icon below the file.

Edit a topic
Click on a topic.
Click “Edit” below an image and all files will appear in the topic
Here are all 4 files in the selected topic.
You have the option to change the following information for a topic:
- Title
- Category
- Tags
- Description
Upload files …
Only certain file types are allowed in the media – pdf, txt, docx, doc, xlsx, xls, pptx, ppt, jpe, jpg, jpeg, png, gif. If you try to save another type of file, a yellow warning will appear on the page and the file will be rejected.
To upload files to a new topic, press the “Upload” button next to the category in which the topic is to be placed.
… to an existing topic
If the file is to be uploaded to an existing topic, click on the desired topic in a category -> click the “Edit” button.
Then select the “Upload” button at the top of the new screen.
You can choose to upload one or more files from your computer at once.
… to a new topic
If you are uploading to a brand new topic, this box will appear with your selected files from the computer.
You can fill in information for the topic (or change):
- Here, the order of the files can be changed by using the mouse to move the images around.
The first image will be used as the topic image cover. - Give the topic a name / title.
- E.g. select a category (You will see all created categories by the arrow to the right of the line).
- E.g. connect tags. Start writing a word and there will be suggestions that can be selected.
If the tag does not exist, then it will be suggested as a new word that can be created.
Click on the desired word and the tag will be created. - E.g. make an in-depth description of the collection of the files in the topic.
Click Save
You can tap a topic at any time and scroll through the files in it – as well as adding and removing files. You can also move the topic to another category.
Options for a single file
Click on a single file in the topic and you will get extra function buttons over the images that can be used on the file.
- Upload (more files to this topic)
- Set as cover (uses the selected file as the front page of the topic in the category)
- Rename (option to change the file name)
- Delete (delete the selected file)
Create Categories
Categories can be created via the menu Settings -> Overview.
Click the “Add” button.
Click Save.
More about Tags
Each topic can have multiple tags. These can be used if you need further identification of the files. You can filter a view using tags.
The tags that are created will be displayed on the right side of the Media.
Click on a tag and you will only see the topics / files that have that tag.
The tag becomes bold when selected. It is possible to select multiple tags for a view.
If you want to see all files again, click once more on the tag in the filter.
Click until all tags are no longer in bold.
A general media for several properties
For info, there is also a general “Media” under Administration -> Property -> Media.
It can be used for conditions affecting several properties. This can be in connection with emptying rubbish bins, bathing restrictions, parking spaces etc.
